G2 Applicant Privacy Notice

 

Introduction

G2 was founded to create a place where people will love to work. We have big goals, and are grounded in our PEAK values—high performance and entrepreneurship, while also being authentic and kind. Part of authenticity is building strong, trust-based relationships with our job applicants. We’ve created this applicant privacy notice to better inform our job applicants about how we handle your personal information during the application process.

This privacy notice applies to job candidates located in the United Kingdom, European Union, and California.

What personal information do we collect?

G2 collects the following categories of personal information directly from you as part of the application process:

  • Identifiers such as your name, email address and phone number;
  • Location data such as your home address;
  • Professional or employment-related information such as the contents of your resume;
  • Education information; and
  • Sensitive or protected information such as your race/ethnicity, gender, veteran status, disability status, and visa sponsorship requirements.

G2 collects personal information from the following categories of third parties:

  • Recruiters, where we have engaged with a third party to source suitable candidates for certain job roles;
  • Background check service providers, subject to applicable laws;
  • Previous employers, if required for references; and
  • Assessment providers, used for assessing suitability for certain job roles.

Why do we collect this personal information?

We collect, use, process and store this personal information for recruitment purposes, such as to determine your suitability for a job role, to schedule interviews and contact you about your application, and to determine your right to work in the country you are applying to.

UK/EU applicants: what is our legal basis for processing your personal data?

Performance of a contract: identifiers such as your name, email address and phone number, and location data such as your home address, are collected and processed for the performance of an employment contract, or to take steps to prepare such a contract. Your professional/employment and educational information is also collected in order to take steps to prepare for such a contract.

Compliance with a legal obligation: in certain circumstances, G2 is required to collect and store your personal information in line with local and national employment laws.

Consent: your demographic information, such as race/ethnicity, gender, veteran status and disability status, is collected only with your consent and is not used as a factor in determining your employability.

Who is your personal information shared with?

We only share your personal information in order to facilitate our recruitment processes. We do not sell your personal information for monetary gain or other valuable consideration. The third parties who we share your personal information with include:

  • Other G2 entities and affiliates;
  • Our service providers, which help us perform essential services such as interviewing candidates online. Such sharing is always governed by data processing or service provider agreements that limit the third party’s use of your personal information;
  • Government agencies, for the purpose of validating your right to work in your country of application, and to submit equal opportunity employment reports; and
  • Background check service providers, subject to applicable laws.

UK/EU applicants: where is your personal information transferred?

G2 is a US-based company, and your personal information may be transferred to, processed and stored in the United States.

How long is your personal information kept for?

We retain your personal information in accordance with local laws and regulations. 

For applicants in California, where you are not offered or do not accept a position with G2, you can expect that we retain a record of your application and limited personal information for 4 years, in line with California law. For applicants in the EU and UK who are not offered or do not accept a position with G2, we retain a record of your application and limited personal information for 3 years.

For applicants who are offered and accept a position with G2, your application materials will form part of your personnel file and will be subject to the retention period laid out in our employee privacy notice.

What are your rights?

You have the right to access, correct and delete certain personal information that we hold about you. To exercise these rights, please contact privacy [at] g2.com.

The GDPR, UK GDPR and CCPA also grant certain rights relating to the sale and sharing of your personal information, and to automated decision making. G2 does not sell or share your personal information as defined by CCPA, nor do we use automated decision making as part of our hiring processes.

You have the right to withdraw your application at any time.

G2 will not discriminate against you for exercising any of these rights.
